Update v.1.10.21 – Introducing Master Reports & Much More!

On Thursday 21st November 2019 we release our latest update (v.1.10.21) which introduces a whole host of new features and qualify of life improvements. What’s more, these improvements come at no additional cost, they’re all part of our regular update roadmap – meaning your subscription keeps getting better!

Here’s the main feature headlines for this update (details explored further below):

  • Master Reporting – Powerful time saving on the fly copying of master reports from property to property.
  • Device Maintenance – Auto-monitoring of your team’s hardware, OS and device capacity – helping you stay inline with our minimum requirements.
  • Report Status Updates – More intuitive feedback as to the status of your reports.
  • Mass Creation & Scheduling Refinements – Creating and deploying multiple reports in one-go made easier with customisable tables and filters.

Our browser version updates have been pushed-live already – so there’s no action required there (happens automatically). An update is required to install the latest features on your iOS or Android devices though, which can be accessed here for convenience: iOS (Apple) Appstore found here and; Android Google Playstore found here.

Master Reports

Master reports are a step-up from templates – allowing users to flag reports at one property and copy them to another on an individual basis. This includes photos, compliance questions and descriptions!

  • Create your own master ‘Inventories’ for certain property types and copy from property to property at your convenience.
  • Pre-define your own ‘Interim Visit’ compliance question responses and descriptions – giving you a huge head-start at the property.
  • No need to start from scratch in an apartment block/street if the report content is the same in each unit.

Device Maintenance

Unlike many other cloud-based platforms – our users rely upon their smartphones and tablets to create reports offline via an App then sync-up later. This means the maintenance of devices is crucial for ensuring the best experience.

We also understand that the vast majority of our users are extremely busy and often share devices, which means it’s not always easy to stay on-top of updates and keeping adequate storage available (5GB recommended).

  • We now detect important device maintenance information when each user logs into their App: Device model; Operating system; Our App version; Available storage.
  • If something isn’t right or needs attention – we’ll flag this in the new ‘Device Maintenance’ area. Visit ‘Settings’ from browser (top right dropdown underneath your name > Device Maintenance.
  • Each ‘Team Member’ user can see their own maintenance information. ‘Manager’ users can also see the device maintenance information for their ‘Team Member’ users.
  • Low storage warnings will display within the iOS/Android App – thus allowing users to take action and free-up some space to avoid data losses.

Report Status Updates

Our integrated paperless workflows for ‘Inventories’, ‘Check-in Inventories’ and ‘Check-out Inventories’ have become far more sophisticated over the last year. With that in-mind, we’ve introduced more visual and transparent status alerts.

  • Preview tenant signatures without opening the report.
  • Preview historical report timelines at a glance and understand what’s due to happen next.
  • Intuitive tips (?) to explain each stage of the process at the click of a button.
  • New ‘Preview’ button to instantly view a web version of your PDF without having to wait for it to download.

Mass Creation & Scheduling Refinements

For users that subscribe to this add-on, we have developed a host of features that sign-post each step – giving you more confidence when committing to creating, assigning and scheduling multiple reports in one-go. For example, purpose built student accommodation providers creating 1,000 inventories in-go and scheduling them to release on a future date/time from a master report.

  • Hide reports created from the last 0 to 30 days. This allows users to quickly identify tenants/occupants that haven’t yet had a report setup.
  • Show, hide and re-order the tenant/occupant columns users information users wish to display – helping to focus on the details that are most relevant.
  • Master reports are now separated from standard reports – meaning you can copy any report from any property/unit at any time.

General Improvements

We always listen to feedback and ways to make life easier on the platform – so here’s a list of miscellaneous improvements:

  • Assign Report Ownership – It’s often the case that the user that creates the report isn’t the same person that’s responsible for handing over keys, or responding to tenant/occupant feedback. You can now assign who owns the report (eg control who gets the email/notification alerts relating to the report).
  • Exterior Photo Thumbnails – Users can now see at a glance if a property has an exterior photo associated with it. A nice visual prompt to take a snap via the App whilst at the property, or upload from browser.
  • Ricoh Theta Z1 – We now support the use of these ‘higher-end’ devices via our direct offline integration.
  • Customise Report PDF Downloads – Users can now choose to download reports with supersized appended images. There’s more customising options coming soon to this function.
  • Deleting Report Verification – We’ve added another verification step when deleting reports. Users must now choose delete > Type the word DELETE > confirm the deletion after reading the summary.
  • iPad Keyboard Bug – We’ve fixed a bug that hides the words being typed within the check-out costings comment field.

Our support library has been updated to reflect the above changes and there’s a variety of ‘How to’ articles for each section. In the coming weeks our support team are turning their hand to updating the pre-recorded training webinar channel.
